Begin with occupancy

Confirm who is moving, what must continue operating and whether the move can happen in phases. A layout and a programme should develop together; delaying this conversation can create avoidable temporary-space costs.

Coordinate the building interface

Request landlord procedures and review access, deliveries, existing services and working hours. These are project inputs, not administrative details to solve after the design. Assign responsibility for submissions and specialist review.

Track long-lead decisions

Furniture, joinery, lighting and technology packages can depend on early approvals. Put samples and sign-offs into the programme alongside construction. Record which items can be substituted and who approves a change.

Plan handover as a process

Inspection, defect resolution, systems testing and staff orientation need time before normal operations begin. Keep a clear list of responsibilities and documents. A key collection date alone is not an operational handover plan.
